Primary Purpose:
Prepare, monitor and maintain student and campus data under minimal supervision. Collect and evaluate records for accuracy and proper coding necessary to ensure compliance with local, state and federal policies and mandates. Process student enrollment, transfers, and withdrawals for the campus. Assist with other campus office duties.
Qualifications:
Education/Certification
High school diploma or GED
Special Knowledge/Skills
Computer proficiency and ability to maintain digital data records
Effective communication, interpersonal and data entry skills
Ability to maintain accurate and auditable records
Ability to use software to develop or maintain spreadsheets and databases and do word processing
Proficient keyboarding and file maintenance skills
Basic math skills
Strong organizational, communication, and interpersonal skills
Knowledge of state and federal accountability standards for public schools
Experience
Two years of clerical experience
Public school district experience, preferred
Major Responsibilities and Duties:
Records and Reports
- Maintain physical and digital student academic records and process requests for information and transcripts. Process new student records, including requesting transcripts and records from other schools. Ensure accurate and current records are maintained for all prospective, enrolled and former students.
- Follow local, state and federal laws and procedures regarding privacy of student education records.
- Collect and evaluate student and campus data records for accuracy and proper coding necessary to ensure compliance with local, state and federal policies, mandates and accountability requirements. Monitor data quality, identify errors and take necessary steps to correct and update records.
- Maintain knowledge and understanding of local, state and federal data standards, accountability and submission requirements.
- Coordinate grade reporting process, including verification and correction of grades and preparation and distribution of report cards.
- Prepare and distribute University Interscholastic League (UIL) eligibility lists.
- Assist with calculation of grade point averages, class rank, and prepare honor rolls.
- Assist counselor with the enrollment, withdrawals, and transfer of students.
- Assist campus administration and counselor with the preparation of reports and student data information.
- Compile, maintain, and file all reports, records and other documents as required.
Other
- Coordinate the ordering and distribution of all graduation materials, including caps and gowns and diplomas.
- Maintain confidentiality of information.
- Provide campus reception support in a professional and courteous manner. Greet and direct campus visitors, issue visitor passes. Receive and direct incoming calls; take reliable messages and route to appropriate staff.
- Provide clerical assistance as needed.
- Assist students, parents and staff as needed.
- Follow district safety protocols and emergency procedures.
- Perform other duties as assigned for the purpose of ensuring the efficient and effective functioning of the campus and office environment.
